Service Categories v6.0 Update Utility

The Service Categories show up in the Reporter in the Jobs/Clients section, because Service Categories are specific to individual jobs. They are defined by the Corporation. Service Categories are editable, but we never recommend editing them except for updating to the Corporation's changes. In January 2012, CNCS revised the Service Categories and Focus Areas. The former Issue Areas became Focus Areas in Reporter v6.0. To update Service Categories in v6.0, access its utility on the File menu.

Version 6.0 enables you to upgrade to the new service categories. When you install 6.0, you will receive a notice that your service categories need some work.

After you run the utility from the File menu in the Reporter, the new service categories are installed and the obsolete ones are marked. You simply change each job which has a marked service category to one of the newly approved categories. Your letter from the Corporation provides descriptions for the new categories. After all the obsolete service categories are no longer in use, you can delete them from the Reference Codes.

You can check and/or update your Service Categories by using the Utility.

It's fairly automatic. It will work so fast you'll think it didn't do anything.

First: make a backup of your data.

Run the Data Utility

Close other Reporters except this one. In the Reporter click on the File menu | Check Service Categories.

Click Check Service Categories.

Run the Data Utility.

Click the second Check Service Categories button.

You will receive a message something like this. Each database will yeild different results.

Check the box that indicates you have already made a backup, or if you haven't, stop and make a backup now before proceeding.

If you haven't already, please stop and make a backup of your data before continuing. Then click next.

Click Convert Service Categories.

The To-Do List

You can use the To-Do List for reference and simply cut to the chase to update your Service Categories in Jobs.

The "To Do" List should automatically open a file named BHNConversion.txt in NotePad or other text editor. Or you can click: View "To Do" List to open it. (Otherwise, look for it inside the Reporter's Program folder.)

These are tasks you need to complete manually in order to
have your Service Categories match the current, official list
of the Corporation for National and Community Service.

To print this list, click on File | Print. You might want to print
it in landscape mode and reduce the margins (File | Page Setup)
to keep the long lines from wrapping.

You had some Service Categories that were not standard. They
may have been correct, but if they were not spelled exactly
the same, I had no way of knowing. I have changed the name of
each non-standard Service Category to start with ZZZ. Follow
these instructions to finish the "clean up".

Update your Service Categories in Jobs/Clients

The quickest way to update is to open Jobs/Clients. On the Info tab look for the first job that has ZZZ in its Service Category. Click Edit.

Jobs/Clients | Info tab | Edit | Select new Service Category.

Reassign an obsolete ZZZ Service Category to a new one on the list without the triple Zs. Choose an approved category from the list.

When you have edited all the active Jobs/Clients, change any obsolete Service Categories in inactive jobs.

When you are finished, delete the Service Categories with ZZZ prefixed to their titles.

Edit jobs/Clients.

We cannot tell you how to reassign your jobs to the appropriate Service Categories. Consult your handbook or state rep if you have questions about that.

Reassign every job's Service Category on your list.

Don't forget to reassign your inactive jobs to the appropriate Service Categories.

Delete the Obsolete Service Categories

When you are finished, delete the Service Categories with ZZZ prefixed to their titles.

If the Reporter will not let you delete a Service Category after you have reassigned all your jobs, the job is probably terminated. Check your terminated jobs and reassign all those. Then you can delete all the obsolete Service Categories.
